Why fix it?
This firm was managing around 100 retainer clients across five billing companies.
They couldn’t just put everything in one place. This is an accounting firm, so access had to be controlled. Depending on the company and the stage, the numbers lived in different Excel files.
Proposals went out by email, contracts were saved in folders, and billing depended on which company handled the service.
When a payment was late, no one could answer right away why. Someone had to check the proposal, the contract, then the invoice. That meant opening different files, sometimes asking the person who handled it.
Even simple questions took time. What’s ready to bill, who’s overdue, what hasn’t moved. You couldn’t answer it without checking multiple files. Only a few people had enough access to piece things together, so the team had to wait.
So we centralized it, with access built in.
The data now lives in one system, but people only see what they’re allowed to see. The team gets visibility on the clients they handle, while the owner keeps control across all five companies.
A proposal is created and sent from the system. When the client accepts, it becomes the contract and carries into billing. Invoices are generated from what was already agreed.
